Terms for PTs

RuFlow is operated by Lorenzo Rubin.

Version 2, last updated 25 October 2026. Questions: hello@ruflow.app

1. About these terms

RuFlow is a personal training and coaching app and website, operated by Lorenzo Rubin, a sole trader trading as RuFlow, ABN 14 340 173 520, of Sydney, Australia ("RuFlow", "we", "us").

These are the terms for personal trainers (PTs) who use RuFlow to coach clients ("you"). By using RuFlow as a PT you agree to them, and to our Privacy Policy.

You must hold the qualifications, registration and insurance your work requires, and keep them current.

2. RuFlow is free for PTs, for now

RuFlow does not charge PTs, and takes no fee from your clients' payments. If that changes, we will tell you at least 30 days before any fee starts, and nothing will be charged without your agreement.

3. Your business and your clients

You run your own business. Your relationship with each client is yours: you decide what you offer, what you charge and how you coach. RuFlow is not your employer, agent or partner, and is not a party to your agreement with a client.

You are responsible for your own business terms, including your prices, cancellations, refunds, payment, GST and tax, insurance and qualifications.

You can write your own client agreement in RuFlow (More, then Your client agreement). Your clients sign it in the app, and when you publish a new version they are asked to sign again. RuFlow gives you a short template to start from. It is a starting point, not legal advice: make it fit your business.

4. Your content

  • Programmes, workouts, exercises, notes and other coaching content you make in RuFlow belong to you. Your private library is yours, and other PTs do not see it
  • You let us store, copy and show your content only to run RuFlow for you and your clients, and, when you publish your profile or a Method, to show it publicly
  • Upload only what you have the right to use
  • RuFlow's own library of programmes belongs to us. You may use it with your clients in RuFlow

5. Your material

1. The training material you upload or send us (programmes, sets, progressions, exercises, tests, diaries, files and scans) stays yours.

2. RuFlow uses it only to provide it to you inside your account: to transcribe it, organise it, calculate totals and show it to your athletes. We do not show it to other coaches, publish it, sell it, or use it to build content or programmes for anyone else.

3. Before we save any file you import, we remove the names and details that identify your athletes and replace them with codes (Athlete 1, Athlete 2 and so on).

4. When you ask, we return all your material in a readable format (for example a spreadsheet) and delete it from our systems within 30 days.

5. Artificial intelligence tools read your material only to do the work in points 2 and 3 for you.

6. Your public profile

  • You choose whether to publish your profile. While it is published, people can find it in RuFlow's directory, and you can unpublish it at any time
  • Keep it accurate: your name, photo, qualifications, specialities and claims must be true and your own. Do not promise results or make health claims you cannot support
  • Do not publish anything inappropriate, misleading, unsafe, copied from someone else, or spam
  • Anyone signed in can report a profile. We read every report and can take a profile down. A profile we take down stays unpublished, and the app tells you why

7. Your clients' information

You see your clients' health, training and contact information so that you can coach them. Use it only to coach that client, keep it confidential, and follow the Privacy Act 1988 (Cth) where it applies to you. Do not copy it out of RuFlow beyond what your coaching needs.

When you use AI tools on a client's information, for example to summarise a check-in or draft a reply, it is sent to Anthropic, as our Privacy Policy, section 6, explains.

RuFlow checks what your clients write for words that suggest a medical or emotional concern, an injury or pain. When it finds one, you see an alert in the app. Act on it as a PT reasonably would. RuFlow is not an emergency service.

8. Payments from your clients

If you take payment through RuFlow, cards are handled by Stripe and direct debits by Pay Advantage, each under its own terms. We do not see or store your clients' card numbers. Your prices, refunds and receipts are yours to set and to honour.

9. Ending

  • You can stop using RuFlow at any time. To delete a PT account, email hello@ruflow.app
  • We may suspend or close an account, or take a profile down, if it breaks these terms or puts other people at risk
  • Your clients keep their own accounts when you stop coaching them

10. Liability

To the extent the law allows, Lorenzo Rubin is not liable for any injury, loss or health issue arising from your use of RuFlow, from your coaching, or from any programme, recommendation or AI response in it.

Nothing in these terms excludes, restricts or changes a right you have under the Australian Consumer Law that cannot be excluded.

11. Changes to these terms

When we change these terms we will update the date and the version at the top, and ask you to sign the new version in the app.

12. Contact
